Base salary: $68,000–$75,000
Annual performance bonus: up to 7.5%–10%
Potential total cash compensation: Roughly $73,000–$82,500

Mike’s Mobile Wrenches LLC is seeking an organized, dependable, and detail-oriented Bookkeeper to manage the day-to-day financial records of our growing mobile diesel truck and trailer repair company.

The Bookkeeper is responsible for maintaining accurate accounting records, processing accounts payable and accounts receivable, reconciling bank and credit card accounts, assisting with payroll documentation, monitoring expenses, and ensuring financial transactions are properly recorded in QuickBooks.

This position works closely with the CFO, management team, office staff, vendors, customers, and outside accounting professionals.

Because Mike’s Mobile Wrenches operates a large mobile service fleet, the Bookkeeper must be comfortable managing a high volume of transactions involving technicians, service trucks, fuel, parts, vendors, customer payments, credit cards, and operating expenses.

Essential Job Duties & Responsibilities

Daily Bookkeeping

Maintain accurate and current financial records in QuickBooks Online.
Properly categorize income, expenses, assets, liabilities, and other transactions.
Review daily banking and credit card activity.
Record deposits, payments, transfers, refunds, credits, and expenses.
Maintain supporting documentation for financial transactions.
Identify duplicate, unusual, incorrectly categorized, or missing transactions.
Maintain organized digital accounting records and receipts.

Accounts Payable (A/P)

Receive, review, and enter vendor bills.
Verify invoices against purchases, receipts, statements, or other supporting documentation.
Monitor vendor balances and payment due dates.
Prepare vendor payments for approval.
Reconcile vendor statements and investigate discrepancies.
Maintain accurate vendor records.
Help prevent duplicate or unauthorized payments.
Communicate professionally with vendors regarding billing discrepancies.

Accounts Receivable (A/R)

Monitor outstanding customer invoices and balances.
Apply customer payments accurately.
Review aging reports and identify overdue accounts.
Follow established procedures for customer collection efforts.
Research payment discrepancies, credits, short payments, and unapplied payments.
Work with office staff and management to resolve customer billing issues.
Provide management with regular updates regarding significantly past-due accounts.

Bank & Credit Card Reconciliations

Reconcile company bank accounts regularly.
Reconcile company credit card accounts.
Research and correct reconciliation discrepancies.
Verify that transactions have appropriate documentation and business purposes.
Report unusual, duplicate, or potentially unauthorized transactions to the CFO or ownership.

Payroll & Employee Records Support

Assist with payroll preparation and verification as assigned.
Review payroll-related information for accuracy.
Maintain appropriate payroll and accounting documentation.
Assist with tracking reimbursements, deductions, bonuses, commissions, or other approved payroll items when applicable.
Coordinate with management and payroll providers to resolve discrepancies.

Fleet & Operating Expense Tracking

Assist with tracking expenses associated with company service trucks and vehicles.
Properly categorize fuel, insurance, repairs, maintenance, registrations, tolls, equipment, and other fleet-related expenses.
Help management identify unusual or excessive operating expenses.
Maintain accurate records for major equipment and vehicle purchases as directed.

Month-End & Financial Reporting Support

Assist with month-end bookkeeping procedures.
Ensure accounts are reconciled and transactions are properly categorized before month-end closing.
Prepare or assist with reports requested by the CFO or ownership, including:
Profit & Loss statements
Balance Sheet
Accounts Receivable Aging
Accounts Payable Aging
Cash balances
Expense reports
Vendor spending reports
Assist outside accountants and CPAs by providing requested records and documentation.
Help maintain accurate books throughout the year so financial records are ready for tax preparation and financial review.

Financial Controls & Confidentiality

The Bookkeeper will have access to confidential company financial information and is expected to maintain the highest level of professionalism and confidentiality.

The Bookkeeper must:

Follow established company approval procedures.
Never authorize personal payments or transactions without proper approval.
Maintain appropriate documentation for financial transactions.
Immediately report suspected fraud, duplicate payments, unusual transactions, or accounting discrepancies.
Protect company banking, payroll, customer, employee, and financial information.
Maintain separation of duties and financial controls established by management.

Qualifications

Preferred Qualifications:

2+ years of bookkeeping or accounting experience.
Experience using QuickBooks Online.
Experience with accounts payable and accounts receivable.
Strong understanding of bank and credit card reconciliations.
Experience working with payroll records is preferred.
Experience in automotive, diesel repair, trucking, fleet maintenance, construction, field service, or another service-based business is a plus.
Proficiency with Microsoft Excel and/or Google Sheets.
Strong attention to detail and accuracy.
Ability to handle confidential financial information.
Excellent organizational and time-management skills.
Ability to investigate discrepancies instead of simply entering transactions.
Strong written and verbal communication skills.
Ability to work independently while following established financial procedures.
